A new and exciting role! Are you an experienced Project Coordinator looking for a varied and dynamic opportunity? Working for a highly regarded boutique-style events and exhibition agency, well established within the events industry providing a full range of experience solutions from live events, and creative content to exhibitions and conferences. Opportunities for international travel whilst assisting with amazing projects. The successful candidate will have Project Coordination experience ideally in the Events industry

Duties and responsibilities

  • Ensure all business-critical deadlines are met for each project

  • Ensure practical usage of in-house support systems and processes

  • Liaise with venues & associated logistical suppliers for information gathering

  • Assist with all F&B requirements and data such as menu choices and delegate dietary requirements

  • Be responsible for the invitation & attendee management process including attendee communication, database management & reporting

  • Source third party suppliers/internal service providers where required (DMC, Exhibition suppliers, Print & Design, Production & AV, teambuilding suppliers etc.)

  • Support in the production & design of all on-site meeting materials

  • Assist project managers in creating and circulating essential communications, e.g. event book, working document, to all key suppliers e.g. production, coaches, teambuilding, event team etc.

  • Travel on-site to assist with site inspections when required

  • Travel onsite as part of a team to assist with projects when required

  • Deliver first-class customer service in line with clients’ objectives

  • Attend meetings and liaison with clients alongside project managers where applicable, to establish and maintain relationships

  • Assist with preparing and presenting event proposals to clients

  • Create and send timely registration reports and feedback summaries to clients

  • Attend client planning meetings - face to face, skype and/or telecons, where required

  • Assist with the preparation of supportive meeting planning materials for client meetings

  • Attend client debrief post-event if required

  • Apply excellent written and verbal communication skills

  • Research and negotiate with suppliers for upcoming projects

Experience and skills required:

  • Minimum of 1 years' Project Coordinator experience

  • Creative mind

Working hours:

9-5.30 pm Monday to Friday (Tues / Wed /Thurs in the office) Mon / Fri at home - 1 hour lunch

  • Some weekend work with time off in lieu


  • 25 days + bhols

  • 70% office based and 30% travel – Including international
